RPTS Kite Fest 2018: Color the Sky

My contributions to the success of the event

  • Served as Co-Director

    • make sure team follows the goals established at the beginning of the year

    • organized and facilitate meetings

    • make sure unfinished/unaccomplished work is accomplished

    • maintain effective communication and relationship between group members

  • Liaison between client and Kite Fest team

Purpose of the Event

To engage all members of the Bryan/College Station community in a safe and family-friendly environment that fosters learning and creativity through a colorful kite-flying experience that builds long lasting memories.

Reflection and Takeaway

Although planning this event was extremely stressful, the success of the event made all the hard work and tears worth it. Through this event, I really learned the importance of effective communication and extreme organization. There was a point in time when I thought I had conveyed my message as best as I can and I thought my team had understood me until a few days later when they told me they didn't get the memo. Through that, I learned to ask questions to make sure we understand what we are saying to each other and that we are fully engaged. Planning large events require one to be extremely detail-oriented and organized, otherwise the whole team will be lost. My co-director's love for spreadsheets and organization have rubbed off on me this semester as well. I have learned a lot more about excel and many efficient and effective ways to organize better and more engaging events. Through Kite Fest, I also realized the importance of networking and maintaining strong relations with vendors. If it weren't for the relations our Kite Fest team had with external vendors, our event would not have been as successful as we had planned.

I was also able to apply my knowledge and micromanage the smallest of details of the event such as contacting vendors to make sure they are arriving on time, directing vendors to their designated area, placement of signage, placement of staff and volunteers, queuing of activities, all of the deliverables, any other accommodations for participants, and more! I have really expanded my horizons on event planning and I hope to be able to work somewhere that will allow me to continue growing as an event planner and apply my knowledge and experience to impact the community in the best way that I can.
